Getting Started

What is Admini?

Admini is a UK-focused household admin app that keeps track of your bills, insurance policies, utility contracts, subscriptions, mortgage deal end dates and property maintenance in one place. It surfaces upcoming renewals before they auto-renew, so you have time to compare deals or cancel rather than being rolled onto a higher rate. The app runs in your browser and is also installable as a Progressive Web App on iOS, Android, Mac and Windows.

How long does it take to set up?

Most users complete a basic setup in about 10 minutes. You don't need to add everything at once — start with what's most expensive or what's renewing soonest (typically insurance or your energy fix), and add other categories over time. The Money Health Check walks you through each category sequentially so you can pause and resume any time.

Do I need to connect my bank account?

No. Bank connection is optional. You can add every bill manually, upload a photo or PDF for AI extraction (Magic Scan), or use the chat interface. Open banking via TrueLayer is offered for users who'd like Admini to automatically detect recurring payments — it is read-only, regulated by the FCA and never has access to your bank login credentials.

Is Admini free?

Yes. The core app is free for UK households — tracking bills, insurance, utilities, subscriptions, mortgage and property, plus AI insights, reminders and document storage. There is no trial limit. We may earn a small affiliate commission when users switch to a better deal through one of our recommendations, which keeps the product free.

Which devices does Admini work on?

Admini runs on any modern browser — Chrome, Safari, Firefox, Edge — on desktop, tablet and mobile. It's also installable as a Progressive Web App: open the site in your browser and tap 'Add to Home Screen' on iOS, or 'Install app' on Android/desktop Chrome. There is no separate iOS or Android app to download.

Is Admini available outside the UK?

Admini is currently designed for UK households. Pricing, currency, terminology (council tax, MPAN/MPRN, mortgage deal end dates, Ofgem price cap) and partner integrations are UK-specific. We may expand to other regions in future, but for now the experience is optimised for residents of England, Scotland, Wales and Northern Ireland.

Privacy, Security and Data

Is my financial data safe with Admini?

Yes. All data is encrypted at rest with AES-256 and in transit with TLS 1.3. Sensitive fields like account numbers and policy numbers are stored in a zero-knowledge vault — encrypted client-side with a key derived from your account, so even our database operators cannot read them. The infrastructure is hosted in the UK on Supabase (built on AWS eu-west-2) and is fully GDPR compliant.

What happens if Admini is hacked?

Even in the worst case, the most sensitive fields (account numbers, policy numbers, reminder emails) are encrypted client-side with keys we don't store. An attacker who got the database would see ciphertext, not plaintext. Other fields (provider name, cost, renewal date) are encrypted at rest but not zero-knowledge — these would be exposed in a serious breach. We follow the principle of least privilege internally and use row-level security on every table so each user can only access their own rows.

Do you sell my data?

No. Admini does not sell, rent or share personal data with advertisers, brokers or third parties for marketing. We use anonymised, aggregated patterns (for example: 'X% of users have a mortgage deal expiring in the next 6 months') to surface partner offers, but no personally identifiable data leaves your account. Our full Privacy Policy details every data processor we use.

Can I export or delete my data?

Yes — at any time. Settings → Data Export downloads a JSON archive of every record you've added (insurance policies, subscriptions, utility bills, mortgage details, properties, documents, MOT progress). Settings → Delete Account permanently erases your account within 30 days, including all linked documents in storage. There is no fee or retention period beyond what's legally required.

What does open banking actually access?

When you connect a bank via TrueLayer, Admini receives transaction data (date, amount, merchant name, category) for the accounts you select. We do not have access to your login credentials, balance, payee list or the ability to make payments. The connection expires after 90 days unless you renew it. You can revoke access at any time from your bank's app or from Admini's Banking page.

Is Admini FCA-regulated?

Admini itself is not directly FCA-regulated because it does not hold money, give regulated financial advice, or act as a payment institution. We provide information and reminders about renewals — the decisions and switches you make are yours. The bank connection feature uses TrueLayer, which IS FCA-regulated as an account information service provider (AISP).

Bills, Renewals and AI Insights

What kinds of bills can I track?

Insurance (car, home, contents, life, pet, travel), utilities (electricity, gas, dual fuel, water, broadband, TV licence, council tax, mobile, waste), subscriptions (streaming, software, gym, cloud storage, news), mortgage and other loans, and property maintenance tasks (boiler service, gas safety, EICR, EPC, gutter cleaning, etc.). Anything with a renewal date or recurring cost can live in Admini.

When does Admini send renewal reminders?

By default, you'll see reminders on the dashboard at 90, 30 and 7 days before any deadline. You can customise reminder frequency per item — weekly, monthly, quarterly or a specific date — and add a reminder email if you want notifications outside the app. Mortgage deal end dates start showing 6 months out because that's typically when remortgage offers can be locked in.

What are AI insights?

Admini's Coming Up feed analyses your data and surfaces signals organised by type: Upcoming Deadlines (things expiring soon), Savings (anywhere you could pay less — an energy tariff above current market rates, duplicate streaming services, or a better deal available now) and Risks (cover gaps, expired insurance, SVR rates). Insights are generated locally where possible and use a server-side AI step for cross-module analysis.

Does the AI hallucinate or invent numbers?

The AI never invents costs, dates or providers — those come directly from what you've entered or what was extracted from your documents. AI is used to: (1) classify uploaded documents into categories, (2) extract structured fields from PDFs and photos, and (3) reason across categories to surface insights. Every insight links back to the source record so you can verify it. We also surface confidence levels for AI-extracted data and ask you to confirm before saving.

What if Magic Scan reads a bill incorrectly?

Every Magic Scan result is shown as a draft for you to verify before saving — provider, cost, dates and policy number can all be edited inline. If something is wrong, you can fix it on screen or switch to manual entry. The AI improves over time, but the human-in-the-loop confirmation step means a misread never silently saves bad data.

Can Admini switch suppliers for me?

No. Admini surfaces opportunities and links to comparison sites or partner deals where relevant — switching itself happens with the new provider directly. We deliberately don't act on your behalf because energy and insurance switching require KYC, address verification and your explicit consent for each switch.

Magic Scan, Bank Connection and Manual Entry

How does Magic Scan work?

Drop a PDF or photo (gas bill, insurance schedule, council tax letter) into the Magic Scan area. The file is uploaded to encrypted storage, then sent to a vision-capable AI that extracts the provider, cost, billing frequency, account number, dates and category. You confirm the result on screen, then it's saved to your vault. Files older than 90 days are automatically deleted from temporary processing storage; long-term documents you choose to keep are retained as per your settings.

What file types does Magic Scan accept?

PDF, PNG, JPG, JPEG and HEIC images. Maximum 10 files at once, up to 10 MB per file. PDFs are rendered to images server-side because vision models read images more reliably than raw PDF text. If a document is password-protected, you'll need to remove the password first or enter the data manually.

Can I connect more than one bank?

Yes. You can connect multiple UK banks (current accounts, joint accounts, business accounts) under one Admini account. Each connection is sandboxed — recurring payments are detected per account so duplicates from a joint account aren't double-counted. There's no limit, though most households connect 1–3 banks.

Why didn't Magic Scan detect my bill correctly?

Common reasons: (1) the file is a screenshot of a screenshot — image quality is too low; (2) the bill format is unusual or international; (3) the document has multiple bills on one page; (4) text is in a non-standard layout. If extraction fails or returns 'unknown', try uploading a clearer copy or use manual entry. The 'switch to manual' button is always available during scanning.

What's the difference between chat entry and manual entry?

Chat entry asks you a few questions conversationally ('Which provider?' 'How much per month?' 'When does it renew?') and is the fastest path for adding a single bill. Manual entry shows the full form with every field — better for one-off entries with unusual fields. Both end up in the same database; pick whichever you prefer.

Mortgage and Property

Why does my mortgage have two end dates?

Most UK mortgages have a fixed deal period (typically 2, 5 or 10 years) within a much longer overall mortgage term (typically 25–35 years). When the fixed deal ends, you roll onto the lender's Standard Variable Rate (SVR) — usually much higher — unless you remortgage. Admini tracks both: the deal end date drives renewal reminders; the mortgage end date is the day your loan is fully paid off.

How early should I start looking for a remortgage?

Most lenders allow you to lock in a new deal 3–6 months before your current fix ends. Admini's Coming Up feed flags this window automatically. The earlier you lock in, the more protection you have if rates rise — and you can almost always cancel a locked-in offer for free if rates fall.

Does Admini calculate my LTV?

Yes. If you enter your outstanding balance and your property's current value, the Mortgage Deal Tracker computes loan-to-value (LTV) and tells you which rate band you'd qualify for (under 60%, 75%, 80%, 85%, 90%, or specialist >90%). This is informational — actual offers depend on your lender's criteria and your full circumstances.

What's the difference between SVR and a tracker rate?

SVR is your lender's default variable rate — the rate you fall onto when a fixed deal ends. It's usually 2–4% above the Bank of England base rate. A tracker is a deal that explicitly follows base rate + a fixed margin (e.g. base + 0.79%). Trackers typically have lower margins but the rate moves up and down with the BoE; SVR rates are set by the lender and historically move slower in either direction.

Can I track maintenance jobs as well?

Yes. Each property has a Maintenance tab where you can track recurring tasks (annual boiler service, gas safety check, EICR every 5 years, EPC every 10 years, gutter cleaning, chimney sweep, PAT testing). Add custom tasks or pick from preset templates. Admini sends reminders before the next due date based on the frequency you set.

Energy Tariffs and Switching

Why does Admini ask for unit rate and standing charge?

Unit rate (pence per kWh) and standing charge (pence per day) let Admini calculate your annual bill from first principles, then compare it against your actual monthly cost as a sanity check. They're also required to compare deals — a tariff with a low unit rate but a high standing charge can work out worse for low-usage households.

What's a fixed vs variable energy tariff?

A fixed tariff locks both your unit rate and standing charge for a set period (usually 12–24 months) — protection against price rises but no benefit if prices fall. A variable tariff moves with wholesale costs, capped by the Ofgem price cap. Tracker tariffs follow wholesale prices day-by-day. Standard variable rate (SVR) is the default tariff you fall onto when a fix ends.

How does Admini know when to compare deals?

When you enter a tariff_end_date for a fixed energy tariff, Admini counts down to it: red <30 days, amber 30–90 days, green >90 days. The Coming Up feed flags it as a deadline signal. For variable or standard tariffs there's no end date — the app shows an ongoing risk signal because variable rates typically cost more than the cheapest fixes available.

What's MPAN and MPRN?

MPAN (Meter Point Administration Number) is a 13-digit number unique to your electricity supply point — found on every electricity bill. MPRN (Meter Point Reference Number) is the gas equivalent, usually 6–10 digits. You'll need them when switching suppliers; Admini stores them in the encrypted vault.

Does Admini recommend specific energy suppliers?

We don't make personalised recommendations because we're not regulated to give financial advice. We surface deals from comparison platforms (Ofgem price cap reference, Uswitch, MoneySavingExpert) so you can compare. Occasionally we may show a partner offer; these are clearly labelled and marked with a 'sponsored' tag if there's a commercial relationship.

Subscriptions and Documents

Will Admini cancel my subscriptions for me?

No — Admini surfaces what you're paying for and when each service charges next, but cancellation has to happen with the provider directly. Some streaming services let you cancel inside the app; others (broadband, gym, magazines) often require a phone call. We provide direct links to each provider's cancellation page where available.

How are documents linked to bills?

Every document you upload (insurance schedule, energy bill, mortgage offer letter) can be linked to one or more records — a single document might be relevant to your mortgage AND the property it's for. Documents are searchable by file name and viewable inside any record's detail dialog. The Documents page shows everything in one place.

Where are my documents stored?

Documents are stored in encrypted Supabase Storage buckets, scoped per user via row-level security. Only you can access them. Signed URLs (5-minute expiry) are generated on demand for viewing or downloading. Deleting an account permanently removes all linked documents.

How long does Admini keep my data?

Indefinitely while your account is active. Inactive accounts (no login in 24 months) receive an email warning and are then archived — data is retained but no longer monitored. You can request deletion at any time from Settings → Delete Account; we permanently erase everything within 30 days.
